Legal
Privacy Policy
Omnitech Systems ("we", "us", "our") respects your privacy. This policy explains what personal data we collect when you use our website or services, how we use it, and the rights you have under the Data Protection Act, 2019 of Kenya.
1. Who we are
Omnitech Systems provides CCTV and security systems, internet and network installation, Wi-Fi hotspot solutions, websites, software development, digital marketing, business automation and Zoho consulting. For any privacy question, contact us at [email protected] or +254 790 365 207.
2. The data we collect
We collect only what we need to respond to you and deliver our services:
- Contact details you give us, such as your name, phone number, email address and location, when you fill in our quote form, message us on WhatsApp, call or email us.
- Project details you share, such as the service you need and information about your premises or business.
- Service and billing records if you become a customer, such as quotations, invoices and support history.
- Technical data collected automatically when you visit our website, such as your browser type, device, pages visited and approximate location, through basic analytics where enabled.
We do not knowingly collect data from children under 18.
3. How we use your data
We use your personal data to:
- Respond to enquiries and prepare quotations.
- Plan, deliver and support the services you request.
- Send invoices, receipts and service notifications.
- Improve our website and services.
- Send occasional updates or offers, only where you have agreed to receive them. You can opt out at any time.
- Meet our legal, tax and regulatory obligations.
4. Legal basis for processing
We process your data because it is necessary to respond to your request or perform a contract with you, because we have a legitimate business interest, because the law requires it, or because you have given your consent.
5. Footage and systems we install
When we install CCTV, access control or network systems, the footage and data recorded belong to and are controlled by the client. We only access a client's system or footage when the client asks us to, for example for maintenance or support, and we treat anything we see as confidential.
6. Sharing your data
We do not sell your personal data. We may share it only with:
- Trusted service providers who help us run our business, such as hosting, email, payment and communication providers, under confidentiality obligations.
- Software vendors where needed to set up services you request (for example, creating your Zoho or hosting account).
- Authorities, where the law requires it.
Some of these providers may store data outside Kenya. Where that happens, we take reasonable steps to make sure your data is adequately protected as required by the Data Protection Act.
7. WhatsApp and third-party services
Our website links to WhatsApp so you can contact us. Messages sent through WhatsApp are also subject to WhatsApp's own privacy policy. Our website may load fonts or analytics from third parties, who may receive technical data such as your IP address.
8. Cookies
Our website uses only the cookies needed for it to work and, where enabled, analytics cookies that help us understand how visitors use the site. You can block or delete cookies in your browser settings.
9. How long we keep data
We keep enquiry data for as long as needed to respond and follow up, and customer records for as long as required for the service and by tax and accounting laws. We then delete or anonymise it.
10. How we protect your data
We use reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access, including access controls and secure systems.
11. Your rights
Under the Data Protection Act, 2019, you have the right to:
- Be informed about how your data is used
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete data that is no longer needed
- Object to processing, including for marketing
- Withdraw consent at any time
To exercise any of these rights, contact us at [email protected]. If you are not satisfied with our response, you may lodge a complaint with the Office of the Data Protection Commissioner (ODPC).
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
